Data Export
Data export lets customers retrieve product data in a format they can use outside the application.
What is Data Export?
Data export is the process of retrieving data from a SaaS application into a file or another system. Common formats include CSV and JSON, with different trade-offs for tabular records, nested structures, and relationships. A useful export explains which data is included, how it is structured, and who is allowed to request it.
Example in SaaS
A project manager exports completed work items to CSV for a quarterly review. An administrator exporting a whole workspace may also need comments, attachments, permissions, and relationships. These are different jobs, so the product should distinguish a report export from a complete account backup.
What to watch for
A downloadable CSV is not automatically a complete or restorable backup. Atlassian’s Jira documentation, for example, distinguishes exported records from physical attachment files. Preserve stable identifiers where relationships matter, and document limits, timestamps, and encoding. Large exports may run asynchronously. Check permissions when the export is requested and when the file is downloaded, and avoid leaving sensitive download links accessible indefinitely.
